C2 Ventures, Inc. Exhibitor Contract
The Promoters: Sci-Fi Expo, Hollywood Expo, and Dallas Comic Con, produced by C2 Ventures, Inc., referred to hereafter as “Promoters” can be reached at PO Box 270788 Flower Mound, TX 75027 Phone:(972)966-0680 Email ben@scifiexpo.com.
Reserving Exhibit Space: Booths must be paid in full at time of reservation. In order for us to hold a booth for you, a $50 deposit must be made (per booth). Because space often sales out quickly, we can not hold space for you until the deposit is received. Specific booth locations are not and never guaranteed, but we will do our best to accommodate your requests. There are no refunds on cancellations less than 90 days before an the reserved event. Any checks returned to us for non-payment will be accessed a $35.00 fee.
Setup: Setup times will be e-mailed to you prior to the event. Setup is currently scheduled for Friday from 2:00 pm - 7:00 pm and resumes Saturday at 8:30 am. Please setup before the doors open to the public. All exhibits not occupied by 9:00 am on the first day of opening will cause the exhibitor to be in default of this contract and will not be due any refund. All exhibits must be open for business during all show hours.
Booth Electricity:The Convention Center charges separately for electrical connections. There is a $25.00 charge for each booth. Please call in advance to reserve so it will be ready for you. Bring at least a 25 foot extension cord in case your table is not near the designated outlet. Electricity is $75.00 if ordered after at the show.
Dealer Badges: Exhibitors and their employees must wear exhibitor badges at all times when at the show. Two (2) exhibitor badges are included with each paid booth. Additional credentials are $25.00 each. Please use these badges for associates, family, helpers, etc. Lost badges will be accessed a $25 replacement fee.
Exhibit Area: All aisles and entrance doors will be under control of the Promoter. Merchandise, displays, signs or other property of the Exhibitors may not extend out of their booth space. Exhibitors and their agents may not sell merchandise, give souvenirs or hand out any literature of any kind anywhere other than in their assigned exhibit space or designated area by Promoter.
Other: Please leave your area clean upon closing. Please use the trash cans throughout the convention center. Foul language will not be tolerated at the event. Many small children and families will be in attendance. We want to maintain an atmosphere that welcomes everyone. Also, any knife, sword, or other sharp object may not be sold to minors. Sale of these items must be boxed and immediately taken to the customer's vehicle, or secured in your booth till customer is ready to leave. No exceptions.
Unauthorized Items: Exhibitor agrees not to sell, trade or display any merchandise that is questionable or deemed to be counterfeit, fake or not authentic as it is being offered. Any item that can not be confirmed or whose authenticity is deemed questionable by Promoter must be removed from display immediately and may not be offered for sale or trade at the show.
In addition, the following is not allowed to be displayed or sold at our events:
Adult materials, items depicting or promoting nudity, mature magazines, satanic materials, pirated videos, bootleg videos, homemade copies of copyrighted films, gambling devices, grab bags, dice games, items depicting nazi symbols, nazi memorabilia, pirated videos, or bootleg videos. Authorities will be contacted should pirated videos be identified. If you are unsure, do not bring it and do not sale it.
Exhibitor shall not have anyone signing autographs at his/her exhibit location without the prior consent of the Promoter. No attempts can be made to capture customer demographics or to promote other events (i.e. Customer mailing lists, addresses, dealer solicitations, show flyers, etc) without prior approval from C2 Ventures.
At the sole discretion of the promoter, violations to any of the above, will result in immediate expulsion from the show at without refunds.
Allocation of Space: Exhibitors must contract directly with the Promoter. No Exhibitor may sublet, subcontract, share his allocated space area or assign his contract to any other company prior consent of the Promoter. Violation of this policy may subject Exhibitor and/or any other parties in violation to immediate expulsion from the show without refund. The Promoter reserves the right for any reason to change the layout of the exhibition, or any part thereof of cancel or postpone the show without any liability to the Exhibitors. In the event of cancellation or postponement for any reason Exhibitors will be notified and will receive a full refund. The Promoter provides to the Exhibitor the space and/or table(s) as specified pursuant to this agreement
Fire, Theft, Accident: The Promoter will maintain a security service in the building and/or shall make reasonable efforts to provide security. However, the Promoter shall not be responsible for the safety of Exhibitor or its property, employees, visitors or customers from theft, disappearance, pilferage, injury or damage by fire, accident, or any other cause. Exhibitor assumes sole liability for any losses resulting from such causes. The Promoter shall not provide insurance for the benefit of the Exhibitor or its property. Exhibitor agrees to abide by the city fire prevention code and the exhibit hall fire regulations promulgated by the owner of the hall, which among other regulations, prohibits attachment of any signs or other items to the walls of the building. The Promoter and the show site do not accept responsibility for merchandise or equipment delivered by or to Exhibitors at any time. The Promoter and the show site are not responsible for any loss or theft of Exhibitors merchandise or equipment during any period of the show, or during set-up/dismantling.
Indemnification: Exhibitors shall indemnify and hold harmless the Promoter from any damages, expenses, losses or liabilities including but not limited to attorney's fees resulting from any claims, demands, suits or other actions based on or arising out of the Exhibitor's occupation or use of the exhibit space, including but not limited to all claims and demands of Exhibitors, their agents, employees, representatives, customers and guests for injury to person or property arising by virtue of any occurrence in the exhibit space or the show site or in the parking areas and in proximity to the show site during the contract term, as well as any period during which Exhibitor is moving into or out of the show site.
Agreement: This agreement constitutes the entire understanding and contract between the parties hereto and supersedes any and all prior contemporaneous oral or written representation.
Interpretation: The Promoter shall have the full power to interpret and/or amend these terms and conditions which in its discretion shall be in the best interest of the show. The decision of the show Promoter must be accepted as final in any dispute between Exhibitor and any situation not covered by these terms and conditions.
Last, we reserve the right to refuse exhibitor space and entry into our events to anyone for any reason at the sole discretion of the owners/promoters.
By purchasing booth space, I am in agreement with the terms set forth as described above. I acknowledge that I have read them and will abide by the stated terms.
